We are currently seeking an experienced Document Control Lead to join TransitLinX (a John Holland and RATP Dev Joint Venture) based in Melbourne on the Suburban Rail Loop project.

About the Role:

The Document Control Lead will play a key role in driving effective and efficient information exchange between external and internal stakeholders. You will manage and maintain the flow of project documentation, ensuring the accuracy, compliance, and accessibility of all records. This role offers strong potential for future growth by contributing to various functions within the organisation and providing overarching support across different domains as the project scales. In this role, you will:

  • Set up and refine transmittal workflows for all stakeholders
  • Administer and maintain electronic document management systems, such as Aconex, ProjectWise, or SharePoint, ensuring proper configuration and user access control
  • Ensure all documents, including technical drawings, safety records, and operational procedures, are properly registered, categorized, and filed in accordance with project and regulatory requirements
  • Manage drawing and document naming conventions, revisions, and distribution
  • Manage version control to ensure the most current and approved versions of documents are readily accessible and outdated versions are archived
  • Maintain documentation in a manner that is audit-ready, supporting internal audits, external regulatory inspections, and accreditation processes
  • Review submitted documents for accuracy, completeness, and compliance with document control procedures and standards
  • Create and manage master registers and dashboards, supporting weekly project reporting with updates to management
  • Act as the central point of contact for document-related queries from internal and external stakeholders, including contractors, consultants, and regulatory bodies
  • Work closely with engineering, operations, safety, and project teams to manage technical and operational documents, coordinating across disciplines to ensure continuity
  • Lead and mentor junior document controllers, providing guidance on document control best practices and ensuring consistency across the team

About You:

You are an autonomous, structured, and delivery-focused professional. You are comfortable interacting with both technical and non-technical stakeholders and have a genuine interest in working within a growing team to shape efficient ways of working. You are driven by a willingness to build, structure, and evolve document systems over time. You will bring:

  • 5–8+ years of experience in document control
  • Proven experience in managing document control for large, multidisciplinary projects, preferably in complex environments like rail transport or infrastructure
  • Experience in industries with strict regulatory and documentation requirements
  • Experience managing documentation throughout the entire project lifecycle, from concept design through to construction, testing, commissioning, and operations
  • Familiarity with document control standards and best practices, such as ISO 9001 (Quality Management Systems) or ISO 19650 (BIM standards for information management)
  • Experience conducting quality checks on documentation to ensure compliance with standards and procedures
  • Strong hands-on technical expertise in Aconex and SharePoint
  • Fluency in English (mandatory day-to-day working language)
  • Familiarity with engineering drawings, specifications, safety assurance documents, and operational procedures (desirable)
  • An understanding of how document control integrates with configuration management and change control processes (desirable)
  • Experience working with cross-functional teams, including engineers, project managers, safety teams, and external stakeholders (desirable)
